NGO OFFICE MANAGER Scholars of Sustenance Foundation – Thailand (SOS Thailand)

Location: Bangkok, Thailand Start Date: ASAP Purpose of Positions: Scholars of Sustenance is a locally registered non-profit foundation, with a staff of 9, and quickly growing. Throughout the past two years, we've been able to successfully prove our food rescue model to follow our mission to fight food waste in Bangkok. We are seeking to expand our operations and we need your help to grow! In our active increase, we'll be moving to larger offices and aiming to raise funds. Through this growth, the position of an Office Manager will be essential to maintain all of our office's documents, finances, HR, contracts, etc. The role will include, but not be limited to, translations, expense reporting, budget management, and HR reporting.

The organization and management of these is essential to allow our current team to focus on SOS's operational growth to ensure that our foundation will advance as a major player in solving environmental and hunger issues here in Thailand. Minimal Requirements: Thai National Fluent Written and Spoken Thai and English Ability to translate legal/finical documents for internal use Ability to fluidly translate verbally in meeting settings

Minimum Bachelors Required Preferred Fields of Study: Human Resources, Accounting, or Business. Or 2+ Years of working experience in related field Proficient with: Microsoft Word Office, Excel, PowerPoint, Outlook, etc… Extremely organized and efficient Desired Qualifications: Any or all of the following: Working background in the following: Office Manager, Executive Assistant, Accounts Management, Human Resources Management Background with NGOs Background in Grant Writing or Process Experience in processing payroll in Thailand Experienced managing budgets and day to day expenses Competent in Adobe Photoshop, Illustrator, or InDesign

Reports To: Chief Operations Officer Key Relationships: Internal: Local SOS Admin Team, Local SOS Operations/Driving Team, Local SOS Board External: CPA, Lawyers, Insurance Companies, All Payable Parties

Job Description: At SOS, we are working to reduce food waste, through better management of surplus, along with providing tools and skills around food education to help communities become sustainable. We have grown rapidly over the last 2 years, and are now preparing to take on much larger projects in the coming year. The Office Manager will be responsible for all administrative duties for the foundation; Human Resources Daily and monthly tracking of hours worked and holiday for full-time employees Management and hour-tracking of payment to casual and part-time employees Tracking staffs’ licenses and training (as required per team member) Tracking all staff paperwork and contracts Ensuring all health insurance needs are covered per employee Accounting Daily tracking of all petty cash expenses, ensuring flow and balance Tracking of all checks, bank fees, etc… Submitting monthly detailed Expense Reports Ensuring all invoices and bills are fully paid Keeping track of all receipts and submitting monthly Filing of WHT Filing of monthly payroll Works closely with outsourced CPA to ensure all finances are being handled appropriately Filing of all contracts Filing of all documents related to vehicles. May include trips to Dept. of Transport Filing of all legal documents Office Organization Filing and Tracking of all paperwork and documents: physically and digitally Ensuring all insurances are paid in full and filed Ensuring all contracts (employee, donor, etc... ) are accurate and current All media and marketing materials are up to date Maintaining office and office supplies Maintaining Schedules and Calendars Possible help with Data Entry, as needed

Work Time: Monday to Friday 9am to 5pm Vacation 3 weeks (15 days) and 14 public holidays. Sick leave with doctor’s proof after 3-day period, up to maximum 20 days. Probation period of 90 days Compensation: 30,000 to 50,000 – based on experience Health Coverage after probation period
